All units have a share drive of some sort, accessible only on the NIPR. Correct me if I'm wrong, but you can't have a live document in this drive. When it comes to info not labeled as FOUO, in the past I have turned to Google Drive multiple times so a live document can be running and updated efficiently. As well, this serves the function of being available outside the NIPR.

While the process can be tedious to manage updates between a file on the NIPR and its counterpart outside that network in the Google share drive, the accessibility and efficiency of it make it worth the extra tedium.

Anyone know of a better way?

You probably shouldn't use Google products, they don't secure very well for PII. A google form and linked sheets would avoid the redundancy involved and populate reports

1LT (Join to see) you collect all the info in a google form which dumps into a Google Sheet, which you can link to update other sheets configured into reports

You really shouldn't be putting PII on a Google drive or anything Google.

If you and your people haven't done so already, you should register for Microsoft Teams Commercial Virtual Remote (CVR) Environment (DoD approved)
Your username is [login to see] (whatever your .mil address is, replace mail with cvr)
Once registered, build your team and use OneNote on there for live docs.

What is your preferred way to have your section fill out rosters or other informational documents?

I have used our units Portal to post documents but there isn't any means to host a live document. The one work around is OneNote. It is live and if you have access to someones OneNote you will see it update live as it is being edited. It may not be the answer but in all honest how fast do you need a roster uploaded to a digital format? I use Google drive but I don't use it for Rosters really. It is more of an archive for previous training documents.
